Prior to confirming any expedition, trekking, or tour arrangements with us, we kindly request mountaineers, trekkers, travelers, and adventure enthusiasts to carefully review the following Terms and Conditions that govern the relationship between you (the client) and Gravity Expedition Pvt. Ltd. The details of the terms and conditions are provided below, and we urge you to read them thoroughly. By signing the booking form, you (and any other person on whose behalf you book) agree to accept all these conditions, acknowledging that you have read and understood the booking conditions. Additionally, you confirm that the information provided on the booking form is accurate and complete.
Producers of Booking
Booking in advance
To secure your spot for an adventure with Gravity Expedition Pvt. Ltd., it is essential to make reservations three months in advance. This three-month planning period is crucial for ensuring maximum safety and client satisfaction throughout the trip.
Last hour booking
You can book a trip as early as one month before the departure date. However, please note that the booking confirmation depends on the group’s capacity. Last-minute bookings are accepted without additional charges, but once confirmed, full payment is required.
Payment procedure
Once you decide to begin an adventure with Gravity Expedition, it’s crucial to make a reservation. To allow enough time for trip organization, documentation collection, and lodging reservations, it is advisable to make your reservation at least one month before the chosen Fixed Departure time. Secure your place in the company by making the required payments outlined below.
1. To confirm a reservation, a 50% deposit is required at the time of booking.
2. A 50% payment is required one month before travel to Nepal.

Cancellation
- If the trip is cancelled by the company
Our trips are guaranteed to depart. We promise that all of our trips will depart. However, if terrorism, natural disasters, political unrest, or other unforeseen events make it impossible for us to carry out the plan, the company retains the right to cancel any trip at any time prior to departure. We’ll inform you as quickly as we can in these circumstances. There will be no refund because these are unforeseen circumstances beyond our control, but the company may hold the money for any future trips of a comparable grade.
- If the trip is cancelled by the clients
60 days prior to departure 15% deposit is forfeited.
30 days prior to departure deposit and 50% of fee is forfeited.
15 days prior to departure 100% forfeited.
Insurance and Travel Risks
Nepalese regulations prohibit foreigners from obtaining insurance within the country. Therefore, it is imperative for clients to secure a travel insurance plan from their home country. Unforeseen risks and factors may arise during treks or expeditions, particularly in high-altitude and sensitive environments prone to medical issues and natural disasters. To ensure comprehensive coverage, including helicopter evacuations, trip cancellations, and personal accidents, our clients are strongly advised to obtain suitable insurance.
In the event of unforeseen circumstances, the company will request personal and insurance details from the client to facilitate necessary steps and paperwork. If a rescue operation is required, the company will liaise with relevant entities and manage the paperwork. It is essential to note that if the guest’s insurance does not cover certain aspects of the trip, the company will not be liable for losses or provide compensation.
Booking amendments
If you intend to change your trip or transfer your booking to a third party, it is essential to notify us before the planned departure date and provide details about the third party involved. Alternatively, you have the option to reschedule your trip for a later date. The amendment process will then be coordinated with each affiliated entity, including airlines, hotels, teahouses, and transportation modes associated with our services.
Incomplete Tours
If a client chooses not to participate in the trek/expedition due to personal injury or any other reason, they will not be entitled to any form of compensation. Similarly, if the government denies the permit for the trek/expedition due to a disaster in the area, clients may not request a refund of their payment.
Early completion of Trip
In exceptional circumstances, unforeseen conditions may lead to the completion of our trips ahead of schedule. However, for days eliminated from the original schedule due to such circumstances, there will be no refund. For instance, if a 14-day travel package is completed in 12 days due to favorable weather conditions, the company will not reimburse the cost of the additional 2 days.
Extra Stay
The client is responsible for covering all additional costs if they decide to extend their stay after the trip is over.
Flight Delay and cancellation
Please note that mountain weather can change rapidly, leading to flight cancellations and delays, especially in areas like Everest, Annapurna, Manaslu, and Langtang. Weather-related and technical difficulties in hilly and remote regions are common causes of such disruptions. In the event of flight delays, clients are responsible for covering extra costs, including meals and accommodation. If a client opts for an alternative, such as a helicopter flight, to avoid delays, they are accountable for all additional expenses.
It’s important to emphasize that Gravity Expedition is not liable for any extra expenses resulting from a missed international flight. However, we will assist in exploring alternative options where possible. Keep in mind that unforeseen circumstances during the expedition may necessitate adjustments to the trip schedule.
